What are Dilapidation Reports used for?

Building damages that might have happened during construction are mediated between building owners and developers using the dilapidation report. It provides a way to determine whether construction-related damages actually exist. Our Dilapidation report lists all current damages and the building’s general condition that could be impacted by construction work.

After that, the Dilapidation report is distributed to all parties concerned. A final building dilapidation inspection is conducted once the project is finished. And it’s only when we compare these two reports that we can clearly see any damages that might have resulted from the construction work.

Access Letters

Letters requesting access are created and dispatched to all neighbouring properties near the construction site, as directed by the client. In urgent situations, the developer or project manager may provide the phone numbers of residents to enable quick communication.

These letters ask residents to contact VS Dilaps and schedule an inspection before a specific date mentioned in the letter. In case no response is received within 7 days, a second registered post letter is sent to the resident. If there is still no response, a third and final letter is sent via Registered Post. If no response is received after all these efforts, a report is created for the client or project manager, outlining the actions taken to arrange the inspection. The report is then forwarded to the Council for their records.

Appointments

The Access Letters ask residents to contact VS Dilaps and schedule an appointment for their properties to be inspected. While the inspections are not mandatory, residents are advised to have them done in case the construction work causes any damage to their property.

After agreeing on a suitable date and time for the inspection, an inspector is appointed to carry out the inspection. A final confirmation is then sent to the resident a day before the scheduled inspection.

Property Inspection

According to the Dilapidation Inspection requirements, our inspector visits each property, takes interior and exterior photos of the entire site, and a note of any issues or damage that need to be listed in the dilapidation report.

Report Preparation

The inspector’s photographs are compiled into a distinct report for each property, along with the inspector’s comments and observations made during the inspection. Any damage that is discovered during the inspection is specifically highlighted in the report, making it simple for the recipients of the report to recognise any problematic areas of the property. Additionally, any restrictions or limitations that were encountered during the inspection are also noted in the report.

Dilapidation Report Transcription

The dilapidation reports, which include specific information for each property, are sent to the client within 24 hours of the inspection. The reports can be transmitted electronically, allowing the client to download them or in hard copy form that can be printed and bound if requested by the client.

Confirmation & Completion

When the client receives the finalised dilapidation report, the project is considered finished. However, for several projects, it may be advisable to perform a post-construction dilapidation report if the original report was created before construction began. If this is the case, the same process will be repeated, and the subsequent report will be compared to the initial report to identify any damage or concerns that have occurred during the construction process.
